The Challenge:   I don't have the budget yet for big postal mailings, but I also don't have very many of my customer emails collected either.  How do I get started?

The information entered here is automatically merged into your "master list" where duplicates are purged, a "Welcome" message is generated, postal addresses are CASS certified, and email address accuracy is verified.

Second, you'll receive customized "point of sale" displays and padded sign up forms so the contact information of cash customers and walk-in visitors to your office or store can be captured "on the spot." 

Third, you'll receive periodic, content-rich, customized e-Newsletters or e-Blasts that are all ready to send!  Changes and updates to each issue are easy and when we send it out for you, we'll even merge each recipient's name into your message so every contact made is personalized. 

Another advantage to the IncludeMeToo  service is that it gives you another web presence for those web surfing for the kind of products and services that you offer to find you. We include links to your main website as well as easy way for visitors to contact you directly and opt in to your sales communications. What if I already have a website?

The IncludeMeToo™ site can enhance an already existing site by providing a very useful and powerful tool that you (or a visitor) can use to enter new contact information into. A simple link added to your website will open up an IM2 window (which our designers can even set up to look like just another page in your website if you'd like). This new window will allow you to automate the collection and management of contact information by allowing your visitors to “opt-in” to your periodic email and postal mailers. You can also enter their data in yourself should they prefer to simply provide you their contact information on one of the convenient sign-up forms which we will also provide you.

But what if I already have a sign-up form on my website?

Does your sign-up form allow you to collect both email and postal information? Are you collecting first and last names, too, so you can personalize your outgoing messages? Can you add other collection fields easily and whenever needed? Is the data you collect automatically standardized and merged into a database with duplicates identified and removed, email addresses verified as deliverable, and postal addresses checked against the latest U.S. Postal Service data? If so, then you’re all set and don’t really need this particular service. How do I promote the collection of contact data?  

Part of the setup we do includes the printing of a generous supply of sign-up certificates that you can keep handy in your office (and wallet or purse). This way you are always ready when the opportunity arises to capture someone’s contact information. We'll also include some eye-catching countertop displays. Additional forms can also be ordered at any time or a nominal cost.

Next, get your staff in the habit of asking; “Are you a VIP client?” or “Are you receiving our company newsletter?” or “Can we send you a gift certificate to use on your next visit?” or “Can we send you a notice when we’re having a special event (or sale)?” These are all easy ways of bringing up the subject of signing someone up for communications and will enable you to maximize your data capture rate.

Keep in mind that to maximize your results, you and your staff will need to be very intentional about asking people for their contact information. And don’t be shy about it! After all, your very best prospects for future sales and word-of-mouth referrals are the very people who just did business with you! They must already like and trust you, so why not get their contact information before they leave so you can stay in touch on a regular basis!

How is contact data collected?

Whenever someone visits your IM2 (IncludeMeToo) landing page and types in their contact information to “opt-in” for your communications, their postal and/or email data automatically flows into a “master” database that we maintain on your behalf.

In addition, you or a member of your staff can periodically enter the data collected with any opt-in (permission) forms that people have filled out and handed in. (Or you can mail or fax those forms to us and we'll do your data entry for you!)

What happens then?

Each new Email contact is sent a customized “Thank You / Welcome” message (which also verifies that they entered a deliverable email address). Any bad emails, closed email accounts, duplicates, and opt-out requests are automatically purged from your master list. This is done on an ongoing basis so that you always have an efficient, up-to-the-minute list of your most important contacts.

Any postal information that is entered also goes through a “cleansing” process. This involves identifying and removing duplicates, standardizing the address data and then CASS certifying and updating it against the latest U.S. Postal Service’s database of active addresses to ensure fast, accurate postal delivery.

Can I choose what fields are collected?

Yes. While it is common to collect names, mailing addresses, and emails, you can also enter other data fields as well. Data such as phone numbers, birthdays, anniversaries, and other details allow you to produce some very personalized messages, such as sending out reminders or mailing a birthday card to your favorite clients.

What if I want to make changes once the site is up and running?

What about all the contacts that I currently have in my various databases?

When we initially setup a master database for you on our system, we can “seed” this new file with any in-house databases you provide. Then, as new people are added, your Master List just grows and grows. Of course, you can merge your databases at any time, initially or, later on.

Note:  Any data you send us will go through the same cleansing process that new sign-ups receive. This will improve the overall efficiency and accuracy of ALL your outreach efforts. In fact, it is not uncommon for us to identify 10-50% of a client’s database as containing duplicate or undeliverable records! This can add up to a BIG savings when you're mailing to thousands of people.

What if I want to collect and manage the sign-up data myself?

Simply let us know and we’ll set up your custom IM2 web page to forward all contact information directly to the email address you provide. Then, each time the form's “submit” button is hit, a new email message containing the visitor's entered data will immediately be generated and forwarded directly to you.

NOTE:   Just keep in mind that no filtering, verification, or processing of any kind would take place on our end. Since the data would be forwarded directly to you, we wouldn't even see it.

How secure is my data?

Our internet servers employ the latest anti-hacking and virus protection available, and backups are performed automatically every time we receive data from your IM2 web page. This backup is done for us off-site as well as in-house. In addition, access to the computers that store your data is very restricted.

Please Note: The IncludeMeToo website is a ONE-WAY portal for automatically adding people to a designated list. No-one (including our clients) can gain access to, view, or make changes directly to any databases "online" since this data (for security reasons) is located on an entirely different computer system. This is an added layer of protection for your data. You can still make updates and changes to your master database by working through a ClientContacts specialist who can also send you an electronic copy of your list anytime you want. We can even provide you with spiral-bound printed copies for your convenience.

With regard to whom will be given access to your data besides you and us, the answer is NO ONE. Your data will NEVER be shared, sold, combined, rented, or made available for use by any other party for any reason. The only time your data is ever put to use is when YOU have us send YOUR message out to YOUR recipient list. 
.
In addition, we take great caution in keeping the databases we manage for our different clients completely segregated. Another client of ours will never see your data or have any access to it under any circumstances - EVER. We take our client's privacy and the trust they place in us very seriously.

What happens to my data if I cancel your service?

Unless you instruct us otherwise, at your notice of discontinuance of our service, we will forward you the latest data we have on hand for you to the email address you provide and then delete your files completely from our system. No hassles. No problems. No fuss. (But please note that should you then wish to re-start your program at some future date, we will have to start all over again from scratch.)

Will I be locked into any contracts?

With our programs there are NO contracts to sign and NO long-term commitments to make. Why? It’s quite simple: if you are pleased with the feedback and results you receive from our working together, you will naturally want to continue or expand our relationship, so no contract is necessary. If not, you would (and should) fire us immediately anyway. (The need to sign a contract should always be a RED-flag.)
